About the Role:

Our client is seeking a highly experienced and exceptionally skilled Senior Executive Assistant to provide comprehensive administrative support to a key executive(s) within their organization, reporting directly to President & CFO/COO. This role demands a proactive, discreet, and highly organized individual with a proven track record of supporting C-level executives. The ideal candidate will be a strategic partner, anticipating needs, managing complex schedules, and ensuring seamless operations for the executive and their team. This position requires exceptional judgment, discretion, and the ability to handle confidential information with the utmost care.

Responsibilities:

• Executive Support: Provide high-level administrative support to the executive, including managing complex and ever-changing calendars, coordinating extensive international and domestic travel arrangements, processing expense reports, and handling all correspondence with professionalism and efficiency.

• Liaison: Act as the primary point of contact for the executive, screening calls, managing visitors, and prioritizing requests. Exercise sound judgment in determining the level of urgency and importance of incoming communications.

• Meeting Management: Proactively manage the executive's schedule, including scheduling meetings, preparing agendas and materials, and ensuring all participants are well-informed. Coordinate logistics for internal and external meetings, including conference rooms, catering, and technology.

• Communication: Draft and edit correspondence, presentations, and other documents, ensuring accuracy, clarity, and a professional tone. Manage incoming and outgoing communications, prioritizing and responding appropriately.

• Project Management: Assist with special projects as assigned, including research, data collection, and project coordination. Track progress and deadlines, ensuring timely completion.

• Relationship Management: Build and maintain strong relationships with internal and external stakeholders, acting as a liaison on behalf of the executive. Cultivate a professional and positive image for the executive and the company.

• Confidentiality: Handle highly sensitive and confidential information with discretion and integrity. Maintain the highest standards of professionalism and ethical conduct.

• Travel Arrangements: Coordinate complex and detailed travel arrangements and reporting, including flights, accommodations, transportation, expenses and visa applications. Anticipate potential travel disruptions and proactively develop contingency plans.

• Personal Support: provide limited personal support to executive as needed, including occasional assistance with personal appointments, travel and ad hoc errands.

Qualifications:

• 7+ years of experience as an Executive Assistant, supporting C-level executives.

• Proven ability to manage complex calendars, travel arrangements, and administrative tasks with exceptional accuracy and efficiency.

• Impeccable communication skills, both written and verbal.

• Strong organizational skills and attention to detail.

• Proficiency in (Word, Excel, PowerPoint, Outlook) and other google suite relevant software applications.

• Ability to work independently and as part of a team.

• Exceptional judgment, discretion, and problem-solving skills.

• Ability to handle multiple priorities and meet deadlines in a fast-paced environment.

• Experience with international travel arrangements and visa applications is highly desirable.

• Bachelor's degree preferred

• Hybrid work schedule: Mon-Thursday in office- Friday remote.
